APPLICATION FOR FOOD STALL SITE
INTRODUCTION
The 6th Annual Back to Booktown event is to be held on the weekend of 5-6 May 2012. Sixty book traders have accepted an invitation to establish stalls in 20 different locations throughout the town. Last year it was estimated that 15,000 people visited the town and similar numbers are expected this year.
Food stalls operated by community groups, businesses and individuals are an important aspect of any event however the success of stalls depend not only in ensuring a sustainable number of stalls but the right mix. There is no point in having 3 or 4 stalls providing the same product there needs to be interest and diversity in what stalls offer and this will be paramount in considering applications.
TYPES OF STALLS REQUIRED
The Organising Committee, mindful of what the permanent eateries in the town intends to provide, is seeking stalls that will provide the following range of products:
· Sausage Sizzle (the Clunes RSL usually caters for this; no other applications will be accepted)
· Hamburgers
· Hot Beef/Chicken Rolls
· Vegetarian
· International Cuisine
· Quiches
· Cakes/Slices
· Coffee/Tea/Devonshire Teas
· Wine & Boutique Beers
· Fish
Applications will not be accepted from street vendors or market type stalls this is primarily a book event, not a trash and treasure type market. All bookings will be for the 2 days of booktown, Saturday 5th May and Sunday 6th May, 2012. No one-day bookigns will eb accepted.

The space allocated for each stall will be approximately 3 metres x 3 metres.
MARQUEES/TRESTLES
Stall holders need to make their own arrangements regarding the provision of marquees or other all weather protection. Stall holders also need to provide trestles for their own use.
Tables and chairs will be provided for use by members of the public.
POWERED SITES
Stall holders should indicate on the Application for Stall Site whether a powered site is required and the level of power required. All stall holders requiring power must detail all equipment and how much electricity each unit draws. You should supply your own Residual Circuit Device (RCD) ‘safety switch’ for installation at each power outlet in use. Double adaptors are prohibited and all power boards must have current overload protection. Faulty equipment causing power failure, proving to be detrimental to the event, its volunteers, other stall holders and the public will be the responsibility of the stall holder and may result in the stall holder being requested to vacate the site.
An additional fee will apply for powered sites.
GAS APPLIANCES
All gas appliances used for cooking are required to be in excellent working condition with particular attention given to gas bottles (current date) and flame guards. Where, in the opinion of the Organising Committee, equipment is deemed to be unsafe, the stallholder will remove same upon request to do so.
TEMPORARY FOOD STALL PERMITS
All Food and other consumables stalls, whether providing fresh or pre-packaged items, need to comply with the Food Act and be registered with the Hepburn Shire Council. This applies to all food stall operators (including community groups). Mobile Food Vendors will need to provide evidence that their van is registered with the relevant local government authority.
Stall operators selling alcohol need to have the relevant permit.
A copy of the relevant registration and/or permit needs to accompany your Application for Stall Site.
PUBLIC LIABILITY INSURANCE
A condition of acceptance of a Stallholders Application is that the stallholder holds a current Public Liability Insurance policy. If you already have such a policy please ensure that it is current and valid outside your own premises.
A copy of your current Public Liability Insurance policy needs to accompany your Application for Stall Site.
COMPLIANCE
During the weekend Council’s Environmental Health Officer and Compliance Officer will be in attendance to ensure that all Stall Holders have the necessary permits and that no itinerant street hawkers are operating in breach of Local Law No 2. Please ensure that you have the necessary documentation with you.
SET UP TIMES
Stall holders must complete their set up by and remove their vehicle before 8.00 am on each day. Access to sites is available on the Friday between 4.00 & 5.00 pm and on Saturday/Sunday from 7.00 am. You will be directed to your site; do not select a site of your own choosing.
Although night security will be provided on the Saturday evening, the Organising Committee accepts no responsibility for the damage or loss of any equipment or stock left overnight.
SITE FEES
The following schedule of fees applies to all sites over the two days. Prices are inclusive of GST. A lower fee to operate for one day only does not apply.
